Dynamic Ocean Consulting Ltd (Dynamic Ocean) is a boutique environmental consulting firm based in Port Moody, British Columbia. We are a group of multi-disciplinary applied scientists that bridge the realms of regulatory and academic applied scientists, with a strong focus on the marine environment. Our foundation is built upon the belief for the inclusion of western and Indigenous/Inuit sciences into all aspects of the regulatory life cycle, to support the understanding of existing conditions and effects assessments. Spatially we primarily work in British Columbia and Nunavut, with a strong interest for expansion to territories and provinces with a coastline.

About You
You are a proactive, solutions focused project administrator with a vast knowledge and experience in similar project administrative roles. The successful candidate will have the ability to work well within a team environment and be able to function independently. You possess excellent communication skills, written and verbal, and have a keen eye for detail and accuracy. You have advanced skills in document administration using Microsoft Office Suite and SharePoint, to support the delivery of documents to our clients, and supporting the technical team with establishment of Styles in MS Word. You will be able to adapt to a fast-paced environment, with the ability to multi-task in your day-to-day functions. In this position you will collaborate with the internal professional teams and will ensure that the key deliverables are met in an accurate and timely manner.
Responsibilities
Support client service staff to produce high quality documents for our clients, including letters, reports, regulatory documents, and minutes of meetings.
Support the development of proposal documents, including formatting large MS Word documents, and quality review prior to submission.
Assist in the ongoing development and improvement of the Dynamic Ocean style guide for letters, reports and presentations.
Data management using the MS SharePoint system to monitor, support and maintain the internal data management platforms for accurate and up-to-date information.
Advanced knowledge in MS Word styles and creation of templates.
Coordinate travel for business meetings and field programs for all team members.
Manage and coordinate team calendars.
Work collaboratively with the Dynamic Ocean team.
Creative thinker with an ability to support Dynamic Ocean in improvements to our administrative and business planning.
Qualifications and Experience
Post secondary education in a related field.
Minimum of five years in an administrative assistant/project administrator position, in a similar service-based industry considered an asset.
Exceptional level of proficiency with the Microsoft Office Suite and working knowledge of Adobe Acrobat Professional.
Strong organizational, communication, and time management skills, with the ability to multi-task in a fast-paced environment.
Problem solving skills with the ability to work independently.
Excellent attention to detail.
Solutions-driven, forward-thinking and able to troubleshoot strategically.
Collaborative, skilled at relationship and network-building.
Technically savvy with an ability to stay up to date with changes in technologies (e.g. Word and SharePoint).
Must be versatile and able to be adaptable in your role and day-to-day responsibilities.
Work Location and Benefits
Our office is based in Port Moody and we offer a hybrid work schedule opportunity with an expectation of at least three days a week in our office.

Compensation
The salary range for this role is between $65,000 and $75,000 depending on the skill level and experience of the successful candidate. Our salaries, however, are typically above average and will be based on your unique qualifications and experience.
